What is new in Responsemate

Every change a customer can see since the redesign in the summer of 2026, newest first. The full history back to 2024 is on the What's new page inside the product.

2.9.2 2026-10-16

  • A new password must be at least 12 characters and not a commonly used one; the rule no longer asks for a digit. Existing passwords keep working.
  • Uploads of questionnaires, knowledge files and attachments are capped at 50 MB per file and refuse programs and scripts, with a clear message instead of an error page.
  • The assistant's conversation history now follows the retention period you chose for the logs, read notifications are removed after 90 days, and a workspace that keeps no prompts keeps no conversations beyond the day.
  • Behind the scenes: the pages name exactly which hosts they load from, cross-site requests are refused, and the connector, sign-in authorisation, assistant and export endpoints are rate-limited.

2.9.1 2026-10-16

  • A sixth legal document, Switching and exit, says how you leave Responsemate and take everything with you: the procedure, the formats, 30 days of transition and 30 of retrieval, no charges, and the countries whose laws govern the platform.
  • The Terms of Service (clause 11) and the Customer Agreement (clauses 3.5 to 3.8) carry the same switching terms, as the EU Data Act requires.

2.9.0 2026-10-16

  • The 16 October update: exports state the origin of every answer and carry an AI-content document property, the assistant says it is an AI, and voice input runs on your own provider. See the notice above.
  • The assistant panel and the Slack bot say in words that they are an AI that can make mistakes, in the panel head, in the greeting and in the first reply of a Slack thread.

2.8.14 2026-10-16

  • The legal documents (Data Processing Agreement, Security overview and sub-processor list, all version 1.4) name Cloudflare as the hosting edge and describe voice transcription and the provider that receives it.
  • The same documents state that integration secrets are encrypted, say which names may reach the AI provider, and describe deletion as it works.

2.8.13 2026-10-16

  • Voice input in the assistant is transcribed by your own AI provider when it can (OpenAI, Azure OpenAI, Mistral and Google); until now every recording went to OpenAI whatever provider you had chosen.
  • A workspace on Anthropic or Amazon Bedrock picks a provider for voice input on the AI configuration tab; while none is picked the microphone stays greyed out and says why.
  • Invitations now expire after 7 days, as the Security overview says.
  • The assistant no longer sends e-mail addresses to the AI provider; people are named by name and role.
  • A Q&A entry deleted in the knowledge base can be restored for 30 days and is then removed for good by the nightly sweep.
  • The error-monitoring script loads from Responsemate itself instead of a third-party address.

2.8.11 2026-10-16

  • The Slack tokens and signing secret and the Microsoft and SharePoint client secrets an admin enters are now encrypted at rest like the AI provider keys; existing values keep working and are encrypted the next time they are saved.
  • The MCP connector token is kept only as a hash: it is shown once when generated, and a token issued earlier keeps working and is hashed the first time it is used.
  • The server refuses to start in production without the encryption key for stored secrets, instead of quietly storing them in clear.

2.8.10 2026-10-16

  • In the member window, Recent activity is shown as a timeline like the one on the Activity page: a coloured marker, the kind of action, what was done and to which questionnaire, with repeated actions grouped.
  • In the organization table the column is now called Work and says whether a questionnaire is in progress or was the last one the member worked on; it used to show both under Current work.

2.8.9 2026-10-16

  • In the member window the list of what a person did is headed "Recent activity"; "Current work" and "Latest work" stay on the member cards for the questionnaire in hand.

2.8.5 2026-10-15

  • The legal documents name Amsterdam as the hosting location of the application and the job queue; the earlier texts said Frankfurt after the queue's name, and the hosting account shows Amsterdam.

2.8.4 2026-10-15

  • Analytics in the product ask first: a small banner lets you allow or decline Google Tag Manager, nothing loads before you choose, the choice is kept for a year and can be changed under Cookie settings in the footer. The sign-in pages load no analytics at all.
  • Sign-in attempts are rate-limited: ten failed attempts on an account, or fifty from one address, in fifteen minutes pause further attempts; password-reset mails are limited to five per address per hour.
  • The job queue talks to the managed Valkey over a verified TLS connection once the cluster's CA certificate is configured, and the connection code lives in one place.
  • The legal documents describe OpenAI as the fallback AI provider with transient processing, record support access in Responsemate's own log, and state the device and personnel measures as they are.

2.8.3 2026-10-15

  • The Customer Agreement no longer carries an insurance clause (the former 9.5); section 9 ends with supplier assurance.

2.8.2 2026-10-15

  • The Legal documents dropdown shows a PDF file icon per document and groups them under "For <your organisation>" and "For every workspace" instead of repeating that under each row.

2.8.1 2026-10-15

  • The Customer Agreement's fee row describes a fixed annual fee in the amount the parties agreed, without a number in the document.

2.8.0 2026-10-15

  • The Legal documents button on the Organization tab is a dropdown: each document opens in a wide window on the same page, with Word and PDF downloads. See the notice above.
  • The Data retention card moved from the Organization tab to the AI configuration tab, next to the AI log it governs, and its fields line up with the card.
  • A member card shows the questionnaire the person last worked on when nothing is in progress, and shows nothing instead of "Nothing in progress" when there is none.
  • The legal documents name the hosting locations (Frankfurt, Stockholm), the database backup policy and the first security assessment; the supervisory-authority placeholder is gone; a known customer's company details fill in on their own.

2.7.0 2026-10-14

  • The Legal documents button on the Organization tab opens the Data Processing Agreement, the Customer Agreement, the Terms of Service, the sub-processor list and the security overview, to read or download as Word with your name filled in. See the notice above.

2.6.0 2026-10-14

  • Admins choose how long the activity history, the AI log and the connector log are kept, and whether the AI log stores prompts and replies. See the notice above.
  • A disabled account can be anonymised from the member edit modal: name, e-mail address, phone, photo and sign-in are replaced, the work and history stay as "Former member".

2.5.5 2026-10-14

  • The privacy policy, the terms of service and the security page are linked from the sign-in pages, from the bottom of every page, and from the invitation and password-reset e-mails, which now also say who sends them and why.

2.5.4 2026-10-14

  • Error reports sent to our monitoring now carry only an internal user id, no longer the name or e-mail address of the person who hit the error.

2.5.3 2026-10-14

  • The password rule (at least 8 characters and one number) now applies to the e-mailed reset and to sign-up, not only to the account screen.
  • The forgot-password form gives the same answer for every address, so it no longer reveals which addresses have an account; the reset link carries no e-mail address.
  • Accounts are created by invitation only once a workspace has its first member, profile photos need a session, and page addresses are no longer sent in full to other sites.

2.5.2 2026-10-14

  • A signed-in session now works only in the workspace it was signed in to; a request that names another workspace is refused and asks you to sign in there.

2.5.1 2026-10-12

  • Internal: what the assistant reads through its tools (file text, Q&A entries, titles) is now marked as material rather than instructions, the way imported questions and knowledge already were, so a document that tells the AI what to say is read as a document.

2.5.0 2026-10-12

  • Search is back on every page, as a button at the top and the Ctrl+K shortcut: questionnaires, Q&A entries, files, links and clients, grouped as you type. See the notice above.
  • The Knowledge page has its Export Q&A button again. The export itself always worked, but the button was lost when the Q&A library and the files screen became one page.

2.4.4 2026-10-11

  • Password-reset mails and invitation mails are sent again. They now go out through the same mail service as the contact form on the website; the previous service had stopped accepting our mails.

2.4.3 2026-10-11

  • The expiration date of a source is easier to change: in its details, clicking the date, the freshness bar or the pencil beside it opens the renew dialog. Only the status word was clickable before, which was easy to miss.

2.4.2 2026-10-07

  • Approving the last answer of a questionnaire no longer fails with "Failed to approve question" when a colleague saves another answer at the same moment. The approval was saved either way; now the page says so and the completion notification goes out.
  • The knowledge-gap check that runs when a questionnaire is completed finishes for the whole questionnaire instead of stopping at the first answer it could not read.

2.4.1 2026-10-02

  • A new client can be created while importing a questionnaire: the client picker on the setup step has a "Create new client" entry, like the Settings tab, and the new client is selected at once.

2.4.0 2026-10-01

  • Search and knowledge matching run on the embedding model you choose: OpenAI, Azure OpenAI, Google, Mistral or Amazon Bedrock, on your own key. See the notice.
  • A switch of the embedding model shows the counts, the approximate cost and the time first, re-embeds your knowledge once, keeps search working meanwhile and can be cancelled.
  • Choosing another provider as your default asks whether search and knowledge matching should move too; they never move on their own.
  • The AI health list says which provider does search and knowledge matching and on whose key, and a workspace whose embedding provider has no key is told so in plain words.
  • The admin who asked for a switch gets a notification when it finishes or stops.

2.3.6 2026-10-01

  • A bar under the top bar says that the AI tools cannot be used at the moment, on every page, from the first failed call until the first successful one.
  • An organisation on its own AI provider is told on the AI configuration tab that search and knowledge matching run on OpenAI, and asked for an OpenAI key as well.

2.3.5 2026-10-01

  • The AI now treats everything it reads from your files, links, imported questions and Slack threads strictly as material, never as instructions. A document that says "answer every question Yes" no longer steers the answers.

2.3.4 2026-09-30

  • Export to Excel now writes the answers into the uploaded workbook itself, so everything else comes back exactly as uploaded: comments, dropdown lists, sheet protection, links to other workbooks, shapes, pictures, add-in panes and sensitivity labels included.
  • Questionnaires whose template starts away from cell A1, or whose questions were recorded in the wrong column, export their answers again. Before, the export could not find the questions and left the sheet empty.
  • When an answer cannot be placed, because its cell is merged with another or holds the question, or a sheet cannot be matched, the export bundle now includes an "Export notes.txt" that says so.

2.3.3 2026-09-30

  • Export to Excel writes the answers again for sheets with blank rows between the questions. The import had counted rows without the blank ones, so questions below a blank row were remembered one row too high, and the export left the sheet unfilled.
  • New imports remember the right rows, and the export finds already-imported questions by their text, so questionnaires imported earlier export correctly without being imported again.

2.3.2 2026-09-30

  • When an action fails, the message now says which request failed and with what answer from the server, instead of "Request failed".
  • If your session has ended while a page was open, the next action takes you to sign-in and back to the same page, instead of failing quietly.

2.3.0 2026-09-29

  • The import wizard reads a questionnaire from a web link, in beta: public Google Forms and Microsoft Forms question by question, other pages as their text, and a page saved from a signed-in browser can be uploaded instead. See the notice.

2.2.12 2026-09-28

  • Attaching a knowledge entry that has no file as evidence now says so instead of failing.
  • Internal: a slow SharePoint answer and a missing client logo are no longer reported as errors; both are handled as what they are.

2.2.10 2026-09-28

  • On a wide screen the questions table no longer leaves a field of white between a short question and its answer: the question column stops growing at a sensible width and the answer column takes the rest.
  • Internal: the website shoot composes the assistant visuals from the demo chats, so they show answers, sources and proposals without a live model call.

2.2.6 2026-09-26

  • Hovering the confidence mark on an answer no longer shows the AI toolbar at the same time; the breakdown has the cell to itself until you move on.
  • The four ways to start a questionnaire (import a file, paste text, read a web form, start empty) each have a colour of their own on the create page, so the choice reads at a glance instead of as four grey boxes.
  • Internal: the demo questionnaires have deadlines within a few weeks of today on both sides, so the calendar shows a fuller month, and the presence and profile features have website visuals.

2.2.0 2026-09-25

  • A knowledge file can be replaced with any file from your SharePoint libraries, from its preview or its edit page, and a linked file can be unlinked so the copy stays without the sync. See the notice.
  • A SharePoint file that could not be synced is reported once in the activity history, not again on every check. It is also checked again on your sync interval rather than every few minutes.
  • The "Sync failed" mark and its activity entry now say why: the file is no longer where it was in SharePoint, or SharePoint was slow to answer.

2.1.14 2026-09-18

  • The fix log now lists only changes you can actually see. Versions that held nothing but internal work are no longer shown, and work on stored data, which leaves the product unchanged, is not listed as a fix.

2.1.13 2026-09-18

  • The graph at the top of the What's new page now has a bar per week instead of per month, so it reads as a pulse over time rather than a row of blocks, and the dates at both ends are no longer cut off.

2.1.12 2026-09-17

  • Every view switcher on the site slides to the option you picked. The ones on the Organization tab and the Knowledge page used to jump there instead.
  • On the What's new page the hero draws what shipped over time, the feature areas fold away so you can collapse the ones you are not looking for, and the headings say less.

2.1.11 2026-09-17

  • Generate document has been removed from the Organization tab, together with the drafting behind it. Nothing you saved is affected, and the news entries that mentioned it no longer do.

2.1.10 2026-09-17

  • The What's new page opens with a tile for each of the three things on it: the latest updates, every feature, and every version.
  • The page is easier to reach: a What's new button sits beside the version at the bottom of every page, and a last tab on your account screen goes straight there.

2.1.9 2026-09-17

  • The fix log now goes all the way back to the first version of Responsemate in May 2024, so every change ever made is written down; pick a year or a month to jump to, and page through the rest.

2.1.7 2026-09-17

  • The AI panel now knows the open questionnaire itself, not only its contents: ask who started it, who owns it, who is on the team, which client it is for, its deadline or when it was created, and it answers.

2.1.6 2026-09-16

  • Adding a SharePoint file that is already in the knowledge base now says so instead of reporting it as added.

2.1.5 2026-09-16

  • A System admin working in your workspace is no longer shown as here, editing or online to anyone who is not a System admin: the questionnaire hero, the list cards, the sheet tabs, the cell locks and the online dot keep quiet about them.

2.1.3 2026-09-16

  • Asking the assistant how many questions in the open questionnaire are still unanswered now gets that number: the questionnaire summary lists answered and unanswered alongside approved and flagged.

2.1.2 2026-09-16

  • A SharePoint file that failed one check no longer stays marked "Sync failed" after later checks succeed; the mark comes off by itself, and one slow answer from SharePoint is retried before anything is marked at all.

2.1.1 2026-09-16

  • A Microsoft sign-in that still fails after the automatic retry is now reported separately from the ones that healed, so a real problem stands out.

2.1.0 2026-09-16

  • Every page shows the version number at the bottom, and this fix log lists the smaller changes that are not news.

2.0.1 2026-09-16

  • Microsoft sign-in no longer fails with "invalid state" when the link was opened twice, in another tab, or after a long pause on the Microsoft screens; it retries once by itself and otherwise says what happened.

2.0.0 2026-09-15

  • The 15 September update: live teamwork on questionnaires, linked pages in groups with a nightly check, View as, one card per AI provider. See the notice above.
  • Controls only admins can use are now hidden from everyone else and marked "Admin only".
  • The AI logs and MCP log pages show where you are in the top bar, and the site-discovery list keeps its scroll position while you tick pages.

1.2609.14 2026-09-14

  • AI drafting and re-runs now search the knowledge base across all of a questionnaire's modules, so entries filed under a secondary module are found.
  • Signing in lands on the link you opened instead of the dashboard.
  • A questionnaire's Team tile and the questionnaires list show who else is in it right now, and a question someone else is editing waits for them with a soft lock.
  • Assistant replies stream in as they are written, an answer in progress survives closing the panel or changing page, multi-step actions run to completion again, and Place in cell no longer writes an old draft after a reload.
  • File cards show their processing state as text in the corner, the knowledge base list updates on its own when processing finishes, and the preview modal shows processing too.
  • The AI panel answers much faster: quick replies use less reasoning and knowledge base lookups are cached per workspace.
  • A long tag or module chip in the knowledge preview wraps inside its pill.
  • A newly added entry is shown where it landed, Last updated appears only after an edit, and the SharePoint mark appears on its tile and modal.
  • GPT-5.6 can be chosen on the AI tab as its three named variants.

1.2609.11 2026-09-11

  • On the Questions tab the pinned actions column covers confidence badges scrolled behind it, and the attach-a-file pickers open clean with a full-width search and readable file types.
  • A deactivated questionnaire shows every row control greyed in its current state, draws no select boxes, and disables the sheet settings gear.

1.2609.10 2026-09-10

  • The AI logs show prompt and completion tokens again, embedding calls carry their tokens, and the Quality card draws the four drift figures from your own data.

1.2609.8 2026-09-08

  • The deadline calendar on a questionnaire's Settings tab can be used again, a required field's error clears as soon as it is filled, and the system mark on timelines stands on its own.
  • The What's new hero shows the number of updates and the newest date, a notice can be pinned (the launch notice is), the history reaches back to the first launch, and feature rows unfold in place with a link to the feature.
  • Admins have an MCP log page listing every Claude connector call: who, which tool, what for and how long, reached from the integration card.
  • A demo workspace at demo.responsemate.dk shows a fictional company's full history and resets itself after every session.

1.2609.7 2026-09-07

  • A SharePoint file that was moved can be relinked from the Check SharePoint strip, and a How SharePoint files stay in sync guide opens in one click from the integration card and the knowledge base.
  • Admins can disable and re-enable members; a disabled member is refused at sign-in and dropped from pickers, and the profile hero rings are removed.
  • Last updated on files and Q&A entries is the date the content changed, not the last automatic save, and shows who made the change.
  • The nightly cleanup scan skips a knowledge base that has not changed, so the activity log no longer gets a scan row every night.
  • Files show who uploaded them and keep a version history; replacing a file creates the next version with the older ones previewable.
  • When combining two identical files or links you choose which copy stays, and a SharePoint link moves to the kept copy.
  • The Add from SharePoint modal browses folders, ticks one file at a time and has its search box back.
  • The not-finished banner on a file no longer claims it has no freshness date.
  • A What each role can do table sits under the role picker, Viewers are now truly read-only, and AI settings and integrations are admin-only.
  • The dashboard hero has four tiles that match the activity card's height.
  • Files show how often the AI suggested them as an attachment and how often that was accepted, and the pending-suggestion badge now goes down when a suggestion is accepted.
  • Each file can be allowed or disallowed as a source for AI answers and as an attachment, separately.
  • Every questionnaire has an AI insights tab with answers used as-is, hours saved, confidence, where the approved answers came from and the sources that carried it.
  • Saving spinners on the questionnaire tabs turn again, and Accept suggested appears only when a selected question has a suggested file.
  • The assistant can answer questions about Responsemate itself from help articles, switched on per workspace on the AI tab.
  • Attaching a knowledge base file to a question no longer fails with Source file not found.
  • The AI logs record which model actually answered each call and show a Quality by model card with calls, failures, as-is rates and nightly test runs, plus a guide to reading it and the four kinds of drift.
  • Four errors fixed: an avatar reload no longer throws, the AI logs collection figures load again, a dropped SharePoint connection is retried, and a very large file no longer fails to save.
  • What's new carries a notice for each batch since the launch.

1.2609.6 2026-09-06

  • Any file in the knowledge base can be checked against SharePoint for a newer version and replaced with it in one click.
  • The SharePoint file suggestions on the cleanup page offer See more, up to 50.

1.2609.4 2026-09-04

  • The Cleanup button on the knowledge base counts what the cleanup page counts, a blue badge counts suggested additions, the Overlap tab lists all its pairs, and Q&A rewrites are phrased as questions.
  • System actions read By system with the Responsemate mark on every timeline instead of Unknown user, and the dashboard hero's count tiles fill their box.
  • A new System admin role has every admin capability and leaves no activity trail, for Responsemate staff working inside a customer's workspace.
  • The cleanup page edits, previews and renews entries in the same modals as the knowledge base, and a plain click on a card opens the entry.
  • AI answer drafting works again after the provider began rejecting the answer format.

1.2609.3 2026-09-03

  • AI answer confidence on the dashboard and the AI report now averages the answers that cited a source, with the share of unsourced answers shown beside it instead of dragging the figure to zero.
  • Confidence charts draw the sourced share as a line instead of a trend, the dashboard hero tiles carry several figures each, and every dashboard card has a one-line subtitle.
  • The What's new page presents the redesign as one launch notice, shows the three latest updates with a fold-out, and lists all Responsemate features by area with hero tiles that glide to each section.
  • Excel export keeps the template look: older drafts render without markup, answer rows grow to fit, the template colours are preserved, hidden and cover sheets are skipped, and joined note cells and other cells are never overwritten.
  • File preview works for SharePoint-synced files, opens on the original document first, and tells a file that was not finished apart from one nothing could be read from.
  • Calendars keep seven equal columns when a title is long, and the AI report's editing stat shows the share of drafts needing an edit now versus earlier.
  • Each cleanup tab draws as soon as its own data lands, and sources whose answers are usually edited before approval appear on a new Often edited tab.
  • Switching sheets on the Questions tab is instant: sheets load independently and stay loaded.
  • The AI assistant knows which page you are on everywhere and can read its figures and sections back to you.

1.2609.1 2026-09-01

  • The dashboard hero's AI figures and the AI report show a running average across questionnaires instead of the latest one, and the hero tiles stack in two columns with compact mini charts.

1.2608.31 2026-08-31

  • Hovering the AI report's charts highlights the bar under the cursor.
  • Cleanup: exact copies are titled Duplicate, combining identical files or links keeps the first copy with the union of modules and tags, and every combine shows a preview first.
  • Every cleanup delete asks for confirmation first, and modules and tags in the cleanup edit form use the site picker.
  • The dashboard's Cleanup box mirrors the cleanup page tabs with matching counts, one Time or Questionnaires switch drives every AI card, and the hero is a six-tile stats grid with mini charts.
  • The deadline pill sits in the questionnaire card's colour bar, and long questions wrap in the question table instead of pushing rows out of line.
  • Links whose headings sit inside page wrappers no longer end up as No text, ignored; their content is read correctly.

1.2608.29 2026-08-29

  • The dashboard has an AI answer confidence card between the as-is and hours saved cards.
  • The AI usage report prints to PDF on a clean four-page layout without stray tooltips.

1.2608.25 2026-08-25

  • The activity filter offers eight categories, exports now land on the timeline, and the actors switch has All events, User actions and System actions.
  • Background jobs such as the nightly scan and SharePoint sync now appear in the activity log as system actions.
  • Activity search matches card headlines, the chosen date range is remembered, and the date menu opens on its button.
  • A questionnaire's Activity tab is the full activity page scoped to that questionnaire, and its Team tile shows the contributors again.
  • Sources stuck in processing for over 30 minutes show Not processed with a Retry, only problem sources get a red edge, files and links show one Added date, and the Most popular source tile is gone.
  • The AI usage report uses one as-is definition on every rate, a page-wide Completed or All switch, a custom date range that applies at once, a per-questionnaire confidence chart, and Download as PDF.
  • Every cleanup entry renders as one card design, and Text improvements now live under Suggested additions.
  • Questionnaire cards and the bulk bar offer Approve all answers and Deactivate with a confirmation, an Empty badge marks questionnaires without questions, and the deadline pill carries the overdue or due-soon tone.
  • Every AI-answered cell now has its own confidence score, Assign and Remove assignee work again, and the actions column, sheet pills and hero details are tidied.
  • The AI panel acts on instructions with an inline Confirm, works correctly under the All data scope, knows what is on the knowledge and cleanup pages, and shows source tiles in replies.
  • The assistant gained 21 more confirmable actions on questionnaires: reopen, set an answer, deadline, shared note, collaborators, approve all, deactivate, knowledge base inclusion and manual questions.
  • The assistant can also add links, renew expiration, retry processing, edit or delete entries, run a scan, apply rewrites, settle conflicts and accept or dismiss suggestions, each behind Confirm.
  • A wrong password at sign-in is shown inline without an error page.
  • View choices (cards, table, list) are remembered per user, and a questionnaire's Back button returns to where you came from instead of its own tabs.
  • Questionnaire files: the picker offers files only, uploads name the questionnaire, bulk uploads reach every selected question, and deleting a file saves first.
  • A What's new notice summarises this pass.

1.2608.24 2026-08-24

  • When SharePoint is connected, Suggested additions on the cleanup page also lists documents in your libraries that are not in the knowledge base yet, ready to add in one click.
  • The questionnaires view switch no longer offers Calendar (it is a tab), and one questionnaire with a broken client reference no longer empties the cleanup lists.
  • The cleanup page hero shows last scan, total cleanup items and suggested additions as tiles, cleanup tabs are yellow and suggestion tabs blue, and icons and wording follow the rest of the site.
  • Forgotten questionnaire cards say how they were forgotten (never started, never finished, never approved), name the client, and offer Mark complete with a confirmation.
  • Every cleanup tab has a sort menu and a pager.
  • New cleanup category Text improvements: the scan finds tag names, module names and question phrasings worth rewriting and suggests a rewrite you can apply, edit or keep.
  • New suggestions category Suggested phrasings: a question asked in several questionnaires that nearly matches an existing entry can be added to that entry as an alternative phrasing in one click.
  • Cleanup tabs are combined into Overlap, Conflicts, Forgotten, Stale and Suggested additions with kind filters, duplicate cards show what tells copies apart, and the apply-all and remove-all bulk actions confirm first.
  • A questionnaire created empty can now get questions: add them by hand or import with AI into it, and export waits until there is something to export.
  • The questionnaires hero shows I take part, Overdue and Close to deadline as counts with an on-track donut, and participation is a single toggle beside the view switch.
  • The dashboard drops the Approved legends and the Latest activity card fills its column with up to 20 entries.
  • Your profile shows your own questionnaires-created and answers-approved rings, the AI tab names Responsemate's default and says whose key calls run on, and saving a per-feature model no longer silently sets the provider.
  • The activity page has one style across all timelines, eight categories, a person filter, search, a page-size choice, a date picker with an activity graph, headlines naming what was changed, and before/after on answer edits.
  • The knowledge base hero shows the last source added, the last cleanup and the most popular source, and the Freshness tab is relaid with an average ring and the five-band spread.
  • The Responsemate mark in the top bar is larger.
  • What's new notices summarise the cleanup page changes and the second pass.

1.2608.21 2026-08-21

  • The dashboard freshness box charts real freshness (Fresh, Fading, Stale), questionnaire cards are more compact, and the pinned settings column stays on top.
  • The top bar mark stands bare, the assistant's toggle reads Scope, and the focused-cell chip reads Working on the highlighted cell.
  • AI answer confidence now shows as three small dots with a tooltip that breaks the score into its four factors, and an approved answer no longer shows a confidence marker or matches the Low confidence filter.
  • Cell settings (text or dropdown) are available on every editable column, the focused-cell highlight works in list view, and the questionnaire's horizontal scrollbar no longer jumps around.
  • Asking the assistant to rewrite the focused cell now rewrites it directly instead of asking you to paste the text, and it can tell you which sources that cell cited.
  • Clearing the assistant conversation now really empties it, buttons on older replies are retired once the conversation moves on, and Place in cell only appears after a reply that is actually a draft for the cell.
  • The assistant can now propose changes and carry them out once you confirm: save an answer to the knowledge base, clear cells, assign questions, change a cell type, attach or accept suggested files, or re-run the AI on cells, each with undo.
  • The assistant can also flag questions, approve answers, report what needs cleaning up and mark a pair of entries as not duplicates, all behind a confirmation.
  • Explain now opens in the AI panel instead of a pop-up, so the explanation stays in the conversation and survives closing the panel.
  • The AI usage report shows how well grounded the AI's answers were in the selected period and the four factors behind that score.
  • AI usage charts now read finished questionnaires only, with a Completed or All switch on the report, and the trend line explains what it is.
  • The undo and reset-to-AI-draft buttons in the cell toolbar have distinct icons, and reset no longer appears on a cell you just cleared.
  • The online dot on overlapping avatar stacks now sits on the right person.
  • Progress bars and rings on questionnaire cards, the table, the calendar and the dashboard now count approved answers only, and a finished questionnaire shows one Completed sign with its date.
  • The AI usage report no longer carries the expiration section (the knowledge base covers it), and the import button lost its redundant tooltip.
  • The notification bell now sits inside the profile box in the top bar and its tray opens on hover.
  • Expired sources are no longer dropped from AI retrieval; every source stays in use and simply fades in freshness over the 90 days after its expiration date.
  • Freshness replaces expiration across the knowledge base: source details show a freshness band and bar, every source carries a coloured leaf, lists can be sorted by freshness, and the wording is the same everywhere.
  • The knowledge base hero shows the most used sources and modules instead of repeating the tab counts, with the cleanup count as a badge on the Cleanup button.
  • The Freshness tab opens with how fresh the knowledge base is and what to renew first, and the dashboard freshness card says how many sources fade within 30 days and links to that tab.
  • The cleanup page opens with a ranked Start here list, hides empty tabs, removes all copies of a duplicate in one click, and only calls sources filed identically duplicates (the rest are overlaps).
  • The cleanup page flags questionnaires that were worked on and then left untouched for 45 days, with approve all or deactivate as the fix.
  • Suggested Q&A entries can be added without leaving the suggestions list; every suggestion carries an AI draft or says that your existing answers disagree, arrives pre-filed under its module, and needs three questionnaires to surface.
  • The questionnaires page has Active, Completed, Deactivated and Calendar tabs plus filters for participation, overdue and close to deadline that combine.
  • Questionnaire cards list their facts plainly, stack modules on the right, and show the completion date on finished questionnaires.
  • Alternative phrasings in the knowledge entry form sit behind a button, and the Modules & tags tab has a jump bar with tags ordered by use.
  • The activity log now presents every action in plain words under new families (Freshness, Knowledge cleanup, Members & access, Integrations, Clients) and can be filtered to user-initiated or automatic events.
  • A What's new notice summarises this round of changes.

1.2608.20 2026-08-20

  • As-is charts use one thin uniform column width and a full-history axis, with no page jump when switching.
  • Questionnaire cards show an approved-only ring with a tooltip and data chips, without a legend.
  • Questionnaires hero: two filter tiles plus a quiet Completed / Deactivated toggle.
  • Knowledge hero: a freshness ring, stat tiles, a Cleanup button, and Modules & tags as a real tab.
  • Cleanup page: per-type tabs, new kind icons, compact stats with an items-by-type chart and a breadcrumb.
  • Every AI-drafted answer carries a confidence score (High, Medium or Low) shown as a corner badge on the field, computed per cited source.
  • Questionnaire pages that scanned the activity log on every load now open quickly.
  • Cleanup: merge two overlapping entries into one new entry, duplicates are grouped, Unused and Stale tabs list what needs attention, and scans run daily.
  • When saving a question fails, the real error is reported instead of a generic crash.
  • A What's new notice covers this batch of changes.

1.2608.19 2026-08-19

  • Dashboard hero buttons glide smoothly to their section, and the hero opens at its final size with a placeholder until the data lands.
  • Pages are wider so tables and card rows get more room.
  • The account presence dot is back on the avatar corner, and system accounts are hidden from the Organization tab and every people picker.
  • Mentions in Slack: the switch is always available when Slack is on, and you can link your own Slack account by e-mail.
  • Breadcrumbs show the current knowledge or account tab in the top bar.
  • Lists remember your sort and page size per view, and questionnaires default to Recently updated.
  • Questionnaires list: Deactivated leaves the hero tiles and becomes a compact archive toggle with a count next to the search.
  • Sort, filter and page-size changes no longer redraw the whole list (questionnaires, clients, Questions tab).
  • The questionnaire Files, Activity and Settings tabs open faster.
  • The settings client picker shortlist fits without an inner scrollbar.
  • The rich-text formatting bar is visible again in answer cells and sits below the field, clear of the hover toolbar.
  • Windows always fit the screen with a fixed head and one scrolling body, and the Attach a file list shrinks so the drop zone stays in view.
  • Long-running actions such as Approve all & export lock their window, show a spinner and ask you to keep it open.
  • Expiration window: a one-line source-type chip and a full-width Pick a date calendar.
  • Tag chips match module chips in size and never wrap.
  • AI usage report: chart hover highlights like the dashboard, and a fairer answer-weighted trend line with an honest tooltip.
  • Assistant scope All data now truly searches the whole library, ignoring the questionnaire's module and tag filters.
  • The settings unsaved-changes guard and remembered view preferences work again on questionnaire pages.
  • AI configuration page: status tiles, a readiness list and calls chart, and six providers (now including Mistral and Amazon Bedrock) with logos and their own fields.
  • AI logs: a Search box, filter menu, date range and sort menu, paged on the server.
  • Back links in page headers return to the page you came from.
  • Knowledge Q&A authoring: alternative phrasings are back with on-the-fly AI ideas, variant heading suggestions and per-type variant switching, and search covers every variant and phrasing.
  • Knowledge links: a duplicate-URL check with Cancel or Rescan, Explore the site page discovery with AI picks, and empty sources are marked and resolvable.
  • The cleanup page combines cleanup items and suggestions on one page with Modules & tags as a tab.
  • Past questionnaires tab: search inside the questions, every answer listed in the window with include and exclude icons, and client logos in the table.
  • Clients: compare via a Compare button, status as an icon with a tooltip, the logo shows right after creating a client, and client logos appear wherever a client is shown.
  • What's new: fewer and shorter notices, with housekeeping notices retired.
  • AI side panel: cell-aware replies with Place in cell, a context strip in place of scope pills, the conversation kept across pages for a day, a clear button and your avatar.
  • Brand mark: blue on black in the top bar, blue on white next to AI messages.
  • Source expiration defaults to one year for every source type, with fresh-until wording in every expiration window and tooltip.
  • Import: a Choose another import method button replaces the header tabs, and the progress panel shows the correct overall percentage and counters.
  • AI answers used as-is charts: no overlapping columns, and a Time / Questionnaires axis switcher on the dashboard and the AI report.
  • Questionnaire Notes window: edit the shared and personal notes in place with Save.
  • Top bar: the search field is removed and an Import questionnaire button is added.
  • Profile pictures no longer have a coloured rim.
  • Import: placeholder answers such as No answer provided or TBD come in blank so the AI can draft them.
  • A What's new notice covers this batch of changes.

1.2608.18 2026-08-18

  • Every page uses one consistent page frame and spacing.
  • Interface fixes: switch knobs stay inside their track, tooltips are never clipped, nothing spills out of or is cut off inside a window, and kebab menus open in place and close on outside click or Escape.
  • Avatars and client logos show real pictures everywhere with a single presence dot, and the Responsemate mark appears in the top bar and as the assistant's avatar.
  • Dashboard: AI charts follow the design with hover highlight, the What's new box shows dates and links to All news, and the Open questionnaires card lists the 8 most recently updated.
  • The top-bar bell only shows while there are unread notifications and re-checks every minute.
  • The assistant button folds back the way it folds out, and its icon never leaves the bubble.
  • Knowledge: file-type icons render again on file cards, tab headers carry source-type icons and count pills, source detail windows share one metadata panel, and the Suggestions window matches its trigger.
  • Cleanup: a narrower duplicate rule, exact file and link duplicates, and unused tags and modules are listed.
  • Progress rings have square arc ends.
  • The questionnaire header no longer has a Mark completed / Reopen button.
  • A deactivated questionnaire is fully frozen: only Reactivate and Delete stay available.
  • The answered without sources warning stays on every source-less AI answer until a person edits it.
  • Attachments: no Suggested label once approved, type badges and download names from the real file type, and the Attach a file step gets live library search, a drop zone and a Back button.
  • AI tools open in the assistant side panel focused on the selected cell instead of a pop-up.
  • Exporting an unfinished questionnaire offers a one-step Deactivate & export.
  • Questionnaire settings: the save column stays clear of the top bar, and the client picker shows recently worked-on clients with logos and a Create new client option.
  • When the AI scope changes, a chip offers Re-run AI answers through the assistant task card.
  • Questionnaire pages open much faster, with a row skeleton while the questions load.
  • Account profile tab restructured: mention channels, SSO-aware security, picture cropping and a page-level Save with an unsaved-changes guard; AI logs are admin-only.
  • Import page: a Back label in the header, method tabs once a method is chosen, and Import with AI.
  • A What's new notice covers this batch of changes.

1.2608.17 2026-08-17

  • Visual polish: no white gap above the top bar, consistent fonts in the assistant, See all pills on the dashboard, a reworked knowledge header and a new assistant button labelled Ask your data.
  • AI stats and the AI usage report now include history from before the redesign, and Completed is the single finished status.
  • Account: AI configuration tools, integration setup guides and Slack user sync are back, and members can edit AI and integration settings.
  • Sources: a Re-vectorize button in the preview window, and a file replaced in place is reprocessed automatically.
  • Questionnaires can be Deactivated: parked, never used as a source and left out of every statistic.
  • Suggestions only surface questions asked in at least two different questionnaires.
  • The Conflicts view is renamed Cleanup and covers duplicates and contradictions.

1.2608.11 2026-08-11

  • AI settings support Azure OpenAI and Google Gemini alongside OpenAI and Anthropic, and stored API keys are encrypted.
  • Activity history is redesigned as a timeline and is paged again.
  • Redesign milestone M6: the dashboard is rebuilt with a greeting, What's new, latest activity, AI stats, alerts, your assigned questions, open questionnaires, a deadline calendar and knowledge health.
  • The AI usage report shows real figures from approvals: answers drafted, editing effort, as-is share, time saved and per-source effectiveness over a selectable period.
  • The AI assistant is available on every page as a slide-out panel with pin mode and source citations; the separate AI chat page retires.
  • Redesign milestone M8: sign-in and password reset, AI logs, the Q&A entry editor, bulk import and the source editor move to the new design, and the old theme is gone.
  • Fixed: editing an entry from the Knowledge screen no longer wipes its reviewer, phrasings and attachments, the emailed password reset link now works, and AI log stats no longer always show zero.
  • A What's new notice announces the completed redesign.

1.2608.10 2026-08-10

  • Manual import mapping (choose the sheet and header row) now runs in a window on the Questions tab instead of separate pages.

  • The Questions tab is rebuilt with hover tools per cell (copy, clear with undo, save to the knowledge base, reset to the AI answer, AI tools), source chips, flags, assignment and attachments.
  • Knowledge base entries can hold answer variants (for example per region or product), and the Questions tab shows a switcher to apply the right one.

1.2608.8 2026-08-08

  • Security hardening: several pages now require you to be signed in, questionnaire creation ignores fields the form does not offer, and deleting questionnaire files removes them properly in every workspace.
  • Redesign milestone M1: the new visual style (fonts, colours, buttons and cards) arrives, with the What's new page as the first screen rebuilt in it.
  • Approvals now record whether an AI answer was kept as-is or edited, so AI usage reports can show real numbers.
  • Redesign milestone M2: the side menu is replaced by a top bar with Dashboard, Knowledge and Questionnaires, breadcrumbs and a user menu on every page.
  • Search from the top bar across questionnaires, knowledge base entries, files, links and clients, scoped to this page or to all data.
