The situation
A SaaS company with a few hundred customers gets a security questionnaire with most new enterprise deals and with many renewals: the customer's own spreadsheet, a SIG Lite from a bank, a CAIQ from a cloud-savvy buyer, the privacy section from a public body. Each takes the same people away from their work for days, the answers drift between customers, and the sales team learns to dread the phrase "our security team has a few questions".
What changes with a library
The first thing is to stop answering questionnaires and start answering facts. Every approved answer, every policy and every certificate goes into one knowledge base with an owner and a date. Completed questionnaires are read back in. The first month is the work; after that, most rows of any new questionnaire already have an answer.
A questionnaire, start to finish
The customer's Excel file is imported as it is: the tool finds the question and answer columns on every sheet. Within minutes each question has a drafted answer built from the library, with the sources it used and a confidence score. The coordinator reads the drafts in confidence order: the High ones are approved in batches after a glance, the Medium ones are read, the Low ones and the ones with no source are assigned to the colleague who knows. The infrastructure lead gets eleven questions, legal gets four, everyone answers in the same place, and the coordinator sees the questionnaire fill up. Evidence is attached from the library where a row asks for it. The finished file is exported with the customer's columns filled, and the approved answers go back into the library.
What the sales team sees
A date they can promise. A questionnaire that used to be "two weeks, maybe" becomes "Thursday". The answers a customer gets are consistent with the answers the last customer got, which matters when customers talk to each other and when the same reviewer sees two of your questionnaires.
What the security lead sees
The questions that keep coming up unanswered, which is the list of policies to write next. The controls the library covers against ISO 27001 and SOC 2, and the ones it does not. Which certificates and test reports are about to expire. The hours saved, counted from the questionnaires actually completed. And a team that answers questionnaires without them.
Where to start
Bring the last questionnaire you answered by hand to a demo and watch it drafted from your own documents. Book one, or read the worked example first.
