Use case

A consultancy answering security questionnaires for its clients

A consultancy answers the same questionnaire many times, once per client, from many different sets of facts. The job is keeping the clients apart and the quality the same.

The situation

A security or compliance consultancy takes on questionnaire work for its clients: a bank sends a SIG to a client, the client forwards it to the consultancy, the consultancy answers it from what it knows about the client and sends it back for approval. Multiply by twenty clients and the risks are obvious. Facts from one client leak into another's answers. The consultant who knew a client leaves, and the knowledge leaves too. The client cannot see what was answered on its behalf last year.

One workspace per client

Each client gets its own workspace: its own knowledge base of policies, evidence and approved answers, its own questionnaire history, its own users. Nothing crosses between them. The consultancy's staff are members of the workspaces they work in and nowhere else, and the client can be given a viewer or member seat in its own workspace to approve answers and see the record.

Consistent quality across the portfolio

The method is the same in every workspace even though the facts differ: import the questionnaire, draft from the client's library, review by confidence, assign the questions only the client can answer, export in the customer's file, read the approved answers back into the client's library. A consultant moving from one client to another finds the same screens and the same sources on every answer, so the quality does not depend on who happened to know the client.

What the client sees

Every questionnaire ever answered on its behalf, with who answered what and when. The library of its own approved answers, which it owns and keeps if the engagement ends. The record of which customer asked what, and the questions that keep coming back, which is the consultancy's list of what to write next for that client.

What the consultancy sees

Across workspaces, which clients have questionnaires open and where they stand, and the hours saved on each, which is the number the engagement is priced on. A client's library that grows with every questionnaire is a reason for the client to stay.
